Administrative Details

Hotel Reservations
For the Vancouver conference, a block of rooms is being held at the conference hotel, the Hyatt Regency Vancouver Hotel, at the group rate of $199 per night plus taxes. For reservations call: +1 (888) 421-1442. Please advise them you are with the Canadian Mining Law & Finance Conference to qualify.

Cancellation & Refund Policy
If you cancel your registration in writing at least 3 weeks before the conference, we will refund your registration fee minus a 20% service charge. Thereafter, you may send a substitute from your organization. Please note that if you register for the conference and do not attend, you are liable for the full registration fee.

Conference Fee Covers
Your conference fee includes all conference sessions, continental breakfast and working lunch on the first day, refreshments and access to all conference materials for both conferences on the secure website.

Payment Policy
Your registration is not confirmed until payment is received. Payment must be received in full by the conference date.

1. REGISTRATION
a. I have signed and faxed back my letter -what do I have to do now?

An invoice for the registration fee will be sent to you. Please note that the Forum is limited to 40 participants, and places are reserved on a first come, first served basis. The fee is payable by credit card (Visa, Mastercard or Amex) or cheque.

b. What does the participation fee include?
+

The fee covers two nights in a quality hotel, meeting sessions and materials, and all meals and refreshments.

2. TRAVEL & ACCOMMODATION
a. Do I need to contact the hotel to make my own reservation?

We will make a reservation on your behalf.

b. Do I need to make my own travel arrangements?
+

Yes. Please make your arrangements to arrive prior to the cocktail reception at 7:00 on March 8, 2009.

The final session concludes at noon on March 10. This final session is followed by a lunch (which is optional) and concludes at approximately 1:30pm. If you decide to depart prior to lunch, please let us know in order that we may adjust our numbers accordingly.

3. PREPARATION MATERIALS
a. Will there be materials available in advance and if so, when?

The Steering Committee and Session Leaders will provide us with reading materials for your advance preparation. You will be provided with instructions on how to access the password protected website approximately 2 weeks prior to the Forum.

b. Do I need to bring the website materials with me?

You do not need to bring the website materials with you. It is expected that you will have referred to these materials in advance. When you arrive at the hotel, you will be provided with a folder that will include the final agenda and only the materials you may need to refer to during the sessions.

4. SPECIAL REQUESTS
a. May I bring my spouse?

We do not encourage delegates to bring their spouses as the focus is on working within the group during the day sessions as well as the evening meals. That said, we often have one or two people bring their spouse or have their spouse join them at the end of the program and stay the weekend. If there are any additional costs for your room or room type, you will be asked to pay an additional fee.

b. May I stay for additional nights?

Yes, based on the hotel's availability we will be happy to connect you directly with the hotel to make these arrangements.

c. What is the dress code?

We suggest business casual for the sessions and business attire (jacket " tie) for the cocktail receptions and dinners. Formal attire is not required.

d. Special requests or arrangements?

Let us know what you require and we will try to help you. These special arrangements may require an additional fee - we will discuss this with you on a case-by-case basis.

5. WHAT IS THE CHATHAM HOUSE RULE?

The Chatham House Rule originated at Chatham House with the aim of providing anonymity to speakers and to encourage openness and the sharing of information. It is now used throughout the world as an aid to free discussion. Meetings do not have to take place at Chatham House, or be organized by Chatham House, to be held under the Rule.
